Scope of this Privacy Policy

This Privacy Policy explains how personal data is processed when you visit this website, contact us through the contact form or communicate with us by email. Personal data means any information relating to an identified or identifiable natural person.

Website hosting and server log files

This website is hosted by ALL-INKL.COM – Neue Medien Muennich, Hauptstrasse 68, 02742 Friedersdorf, Germany. When the website is accessed, technical connection data may be processed in server log files, including IP address, date and time of access, requested page or file, referrer information, browser and operating-system information and technical status data. Processing is necessary to deliver
the website, maintain stable operation and protect the website and hosting infrastructure against misuse and attacks.

Legal basis: Article 6(1)(f) GDPR. The legitimate interest is the secure and reliable operation of the website. Log data is retained only for as long as required for these purposes and according to the hosting configuration; extended storage may be necessary where a security incident must be investigated.

Contact form

The contact form may collect your name, business email address, organisation, nature of enquiry and the message you choose to provide.
The form uses security mechanisms such as a WordPress nonce, a timing check and an invisible honeypot field. The form itself does not intentionally store the submitted enquiry as a separate contact-form record in the WordPress database; the message is transmitted by email to our business mailbox.

Legal basis: Article 6(1)(b) GDPR where your enquiry relates to a potential or existing contractual relationship. In other cases, processing is based on Article 6(1)(f) GDPR, our legitimate interest in responding to professional enquiries.

Please do not use the initial contact form to send confidential case files, casualty documents, dangerous-goods documentation or other sensitive material. An appropriate channel can be agreed after initial contact.

Email and Microsoft 365

Website enquiries and direct email communications are processed using Microsoft 365 / Exchange Online. In this context, Microsoft may process sender and recipient information, message content, technical routing information and other data required to provide and secure the service. Microsoft enterprise online services are provided subject to Microsoft’s applicable contractual terms and data-protection commitments.

Legal basis: Article 6(1)(b) GDPR for pre-contractual or contractual communications and Article 6(1)(f) GDPR for other business communications. Our legitimate interest is reliable and secure business communication.

Google Fonts

The website currently uses Google Fonts loaded from Google servers. When a page requests a font file, the visitor’s browser establishes a connection to Google infrastructure. In connection with such requests, technical information such as the IP address and request-related browser or device information may be processed by Google.

For users in the European Economic Area, Google services are generally provided by Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland. Google may also process data in other countries in accordance with its applicable privacy framework.

Implementation recommendation: Before public launch, the Google Fonts used by this website should be hosted locally where practical.
If implemented, this section should be removed or adapted accordingly.

Cookies, analytics and tracking

The website currently does not use Google Analytics, advertising pixels or behavioural tracking services. We do not intentionally use analytics or marketing cookies. Technically necessary storage or cookies may be used where required for security, administration or core WordPress functionality. If additional analytics, embedded media or marketing technologies are introduced later, this Privacy Policy and any required consent mechanism must be updated before those services are activated.

Recipients and processors

Personal data may be made available only to recipients who require it for the relevant purpose. This may include the website hosting provider, Microsoft as provider of Microsoft 365 / Exchange Online, and service providers supporting the secure operation and maintenance of the website. Where a service provider processes personal data on our behalf, the processing is governed by the applicable data-processing arrangements.

International data transfers

Some technology providers may process data outside the European Economic Area. Where personal data is transferred to a third country, the transfer must be based on an applicable adequacy decision or other safeguards recognised by Chapter V GDPR, such as the European Commission’s Standard Contractual Clauses, where required. Microsoft and Google publish information on the safeguards they use for international transfers.

Retention

We retain personal data only for as long as necessary for the purpose for which it was collected and for any applicable legal retention or defence requirements. Contact and email communications are deleted when they are no longer required, unless they form part of a contractual, accounting, tax, legal or claims-related record. Business correspondence may be subject to statutory retention obligations;
under German commercial and tax law, certain business correspondence is generally retained for six years.

Your data-protection rights

Subject to the conditions of the GDPR, you may have the right to request access to your personal data, rectification of inaccurate data, erasure, restriction of processing, data portability and objection to processing based on legitimate interests. Where processing is based on
consent, you may withdraw that consent with effect for the future.

You have the right to lodge a complaint with a competent data-protection supervisory authority. We use appropriate technical and organisational measures to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. Internet-based communication can nevertheless never be guaranteed to be completely secure.
